JOB DESCRIPTION
By supporting sales representatives and coordinating sales-related activities within the company, you will contribute to achieving sales targets. You will be playing an important role in maintaining good customer relationships by acting as an extension of the sales force.
What you can help us do: Facilitate the team’s activities so as to maximize their performance and the development of the company.
Your every day:
- Enters data through various software programs as well as hotel management systems to produce contracts, client correspondence, memos, BEO’s, group resumes, mailing lists, and other documents.
- Answers telephone calls and responds to guest questions/inquiries. Transfers telephone calls and records and distributes messages to sales managers. May have office receptionist duties.
- Updates file folders and filing system, completes photocopying and faxing as needed. Reviews and distributes incoming and outgoing mail. Maintains customer lists and assists with bulk mailings.
- Assembles sales kits for sales team and other hotel departments. Ensures that an adequate inventory of sales material is available.
- Processes VIP requests, amenity cards/orders for sales managers.
- Assists in completing a variety of sales reports.
- Assists in coordinating credit card authorizations and direct billing information for groups with accounting department.
- Supports sales managers with a variety of projects including sales blitzes, preparation of promotional material, e-commerce and marketing projects as assigned.
- Acts as a liaison between sales manager and clients in the sales manager’s absence.
- Actively participates in daily stand up meeting/ department meetings.
- Additional responsibilities may be assigned that require more independent work on special sales/marketing projects and more in depth communication and sales relationship building with clients.
- High School Diploma or GED certificate required. Some college preferred.
- Strong written and verbal communication skills
- Intermediate or expert level knowledge of Microsoft Suites (Word, PowerPoint, Excel, Outlook)
- Previous administrative sales office experience in a hotel environment
- Working knowledge of hotel systems (Delphi, OPERA) strongly preferred
- Associates may be required to work varying schedules to reflect the business needs of the hotel.
- Associates must maintain a neat, clean and well-groomed appearance and wear business attire with name tags.
